Terms + Conditions
Creosote Journeys & Co. (“Creosote Journeys,” “we,” “us,” or “our”) provides travel planning and advisory services and acts as an intermediary between clients and independent travel suppliers. These Terms & Conditions (“Agreement”) explain the responsibilities of Creosote Journeys and the traveler (“you” or “client”).
By paying a planning fee, authorizing a travel deposit or payment, or otherwise confirming travel arrangements with Creosote Journeys, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
1. OUR ROLE
Creosote Journeys is a travel advisor and intermediary. We do not own, operate, manage, or control the airlines, hotels, cruise lines, tour operators, transportation companies, guides, restaurants, or other suppliers we recommend or arrange.
Travel suppliers are independent entities responsible for the services they provide and are subject to their own terms, conditions, cancellation policies, payment schedules, and restrictions.
We will use reasonable care in researching, recommending, arranging, and coordinating travel on your behalf. However, we cannot guarantee the performance, availability, quality, or conduct of any independent supplier.
2. PLANNING FEES
Planning fees are separate from the cost of travel and compensate Creosote Journeys for the professional time, expertise, research, itinerary design, coordination, and advisory services involved in planning your trip.
Planning fees will be clearly communicated in advance and are based on our current menu of services and the scope of work agreed upon for your trip.
Planning fees are non-refundable once planning work has commenced and regardless of travel.
Payment of a planning fee does not guarantee that a particular destination, property, experience, flight, or other travel component will ultimately be available or selected.
Changes to the scope of planning or substantial revisions requested after planning has begun may result in additional fees. Any additional fees will be communicated to you before the additional work is undertaken whenever reasonably possible.
3. TRAVEL COSTS, PRICING & PAYMENTS
Travel pricing and availability are subject to change until the applicable supplier has received the required payment and the booking has been confirmed.
Quotes are based on pricing and availability at the date and time they are provided and may change without notice prior to confirmation.
Prices quoted in foreign currencies may fluctuate based on exchange rates and may be subject to foreign transaction or international credit card fees imposed by your financial institution.
Travel suppliers may impose additional charges, including but not limited to fuel surcharges, government taxes and fees, resort fees, increases in airfare, or other supplier-imposed charges. Creosote Journeys is not responsible for supplier price increases or additional charges imposed after a quote is provided or a booking is confirmed, except where required by applicable law.
Supplier payment deadlines are firm. Failure to provide required deposits or final payments by the applicable deadline may result in cancellation of travel arrangements and loss of deposits or other penalties.
4. SUPPLIER TERMS & CANCELLATION POLICIES
Each supplier establishes its own payment, cancellation, change, refund, and penalty policies. These policies apply to your booking and may vary significantly by supplier and itinerary component.
You are responsible for reviewing and understanding the applicable terms before authorizing payment. Creosote Journeys will communicate applicable policies and restrictions to you as part of the planning and booking process.
Once a booking is confirmed, cancellation or change fees imposed by the supplier may apply regardless of the reason for cancellation or change.
5. CLIENT INFORMATION & RESPONSIBILITIES
Travelers are responsible for providing accurate and complete information necessary to arrange travel, including legal names, dates of birth, passport information, contact information, dietary requirements, accessibility needs, and other relevant preferences or requirements.
Creosote Journeys is not responsible for costs, missed travel, denied boarding, or other complications resulting from inaccurate, incomplete, or outdated information provided by the client.
Clients are also responsible for promptly reviewing confirmations, invoices, itineraries, and other travel documents and notifying Creosote Journeys of any errors or discrepancies.
6. PASSPORTS, VISAS & ENTRY REQUIREMENTS
Travelers are responsible for ensuring that their passports, visas, permits, health documentation, and other required travel documents meet the requirements of every destination and transit point included in their itinerary.
Passport-validity requirements vary by destination and may change. Creosote Journeys will provide available guidance and resources regarding documentation requirements, but final verification with the applicable government authorities remains the traveler’s responsibility.
Travelers should consult the appropriate embassy, consulate, immigration authority, or government agency for current entry and exit requirements.
Entry restrictions may apply to travelers with criminal records, including DUI/DWI offenses. Travelers are responsible for determining whether their history affects admissibility and should contact the appropriate embassy, consulate, or immigration authority directly.
For additional information, travelers may consult the U.S. Department of State at travel.state.gov.
7. HEALTH & TRAVEL REQUIREMENTS
Travelers are responsible for determining whether vaccinations, medications, testing, health certificates, or other health precautions are recommended or required for their trip.
We recommend consulting a qualified healthcare professional and reviewing current guidance from appropriate government health authorities before travel.
Destination, airline, hotel, cruise line, tour operator, and other supplier requirements may change. Travelers are responsible for complying with applicable health, safety, testing, vaccination, and entry requirements.
Creosote Journeys is not responsible for losses, denied boarding, denied entry, cancellations, or other consequences resulting from a traveler’s failure to meet applicable requirements.
8. AIR TRAVEL
Travelers are responsible for complying with airline check-in requirements and should generally arrive at the airport at least two hours before domestic departures and three hours before international departures, unless the airline or airport recommends otherwise.
Travelers should monitor their flight information and reconfirm flight details before departure. Airline schedules, aircraft, routes, and seat assignments may change without notice.
Creosote Journeys will not change a requested seat assignment without your authorization. However, airlines may independently change seat assignments for operational, aircraft, or other reasons. Creosote Journeys cannot guarantee a particular seat assignment or be held responsible for airline-initiated changes.
Baggage allowances, fees, restrictions, and through-check procedures are determined by the applicable airline. Travelers are responsible for complying with airline baggage requirements.
Creosote Journeys is not responsible for lost, delayed, damaged, or misdirected baggage or for baggage that cannot be checked through to a final destination.
Frequent-flyer and airline loyalty programs are agreements between travelers and the applicable airline. Creosote Journeys is not responsible for mileage discrepancies, loyalty-program issues, or penalties associated with unused portions of airline tickets.
Failure to use one segment of an airline ticket may result in cancellation of subsequent segments, repricing, or other penalties imposed by the airline.
9. CLIENT-REQUESTED CHANGES
Changes requested after travel arrangements have been confirmed may result in additional planning fees, supplier penalties, cancellation fees, fare differences, or other charges.
Creosote Journeys will communicate known costs before making changes whenever reasonably possible.
Substantial changes to an itinerary after approval may require additional planning time and fees.
10. DINING, SPA & ENTERTAINMENT RESERVATIONS
Requests for new reservations, changes, or modifications made within 14 days of departure may be subject to a non-refundable service fee of $25 per reservation or request.
Additional supplier fees, deposits, cancellation penalties, or other charges may also apply.
Exceptions may be made at the discretion of Creosote Journeys.
11. TRAVEL PROTECTION
Travel protection is strongly recommended to help protect your financial investment and provide coverage for certain unexpected circumstances.
Unless specifically stated in writing, travel insurance or travel protection is not included in the cost of your itinerary.
Information regarding available travel protection options will be provided once the first non-refundable deposit has been paid.
Travelers are responsible for reviewing the policy, coverage limits, exclusions, conditions, and claim requirements before purchasing travel protection. Creosote Journeys does not determine whether a particular policy provides adequate coverage for an individual traveler’s circumstances.
12. UNEXPECTED EVENTS & SUPPLIER CHANGES
Travel involves circumstances that may be outside the control of Creosote Journeys or the applicable travel suppliers. These may include, but are not limited to, severe weather, natural disasters, acts of government or other authorities, war, civil unrest, strikes, labor disruptions, epidemics or pandemics, acts of terrorism, transportation disruptions, equipment failure, border closures, changes in entry requirements, and other unforeseen events.
Such events may result in delays, cancellations, itinerary changes, reduced services, additional costs, or other disruptions.
Creosote Journeys will make reasonable efforts to assist clients in navigating significant disruptions and identifying available alternatives, subject to supplier availability and applicable terms. Additional supplier charges or planning fees may apply for significant changes or assistance outside the original scope of services.
13. SUPPLIER PERFORMANCE & LIMITATION OF LIABILITY
Creosote Journeys does not own, operate, manage, or control the independent suppliers providing travel services.
To the fullest extent permitted by applicable law, Creosote Journeys is not responsible for the acts, omissions, errors, delays, cancellations, changes, negligence, insolvency, or failures of independent travel suppliers or for circumstances beyond our reasonable control.
This includes, without limitation, transportation, accommodations, excursions, guides, tours, cruises, restaurants, activities, baggage, schedules, itinerary changes, delays, injuries, illness, property loss, or other consequences arising from services provided by independent suppliers.
Nothing in these Terms & Conditions is intended to waive or limit any rights or remedies that cannot legally be waived or limited.
14. PAYMENT AUTHORIZATION & COLLECTION
By authorizing Creosote Journeys to arrange travel or process payment on your behalf, you authorize us to submit approved payments to the applicable travel suppliers in accordance with the payment schedule communicated to you.
If a payment is declined, reversed, charged back, or otherwise not received by Creosote Journeys or the applicable supplier, you remain responsible for the amount due and any resulting supplier penalties, cancellation fees, fare differences, or other charges.
15. SUPPLIER COMPENSATION
Creosote Journeys may receive commissions, fees, or other compensation from travel suppliers for bookings made on a client’s behalf.
Such compensation does not replace our responsibility to recommend travel based on your preferences, needs, and stated priorities.
16. COMMUNICATION
Clients are responsible for providing accurate and current contact information and for monitoring communications related to their travel arrangements.
During travel, clients should remain reachable through the contact information provided to Creosote Journeys and promptly communicate any issue requiring assistance.
Creosote Journeys will make reasonable efforts to assist clients with travel disruptions and other issues that arise during travel, subject to supplier availability, operating hours, and the nature of the circumstances.
17. GOVERNING LAW & VENUE
This Agreement shall be governed by and construed in accordance with the laws of the State of Arizona, without regard to its conflict-of-law principles.
18. SEVERABILITY
If any provision of this Agreement is determined to be invalid, unlawful, or unenforceable, the remaining provisions shall remain in full force and effect to the fullest extent permitted by law.
19. ENTIRE AGREEMENT
These Terms & Conditions, together with any written planning agreement, invoice, proposal, or other written terms specifically incorporated into your travel arrangements, constitute the agreement between you and Creosote Journeys regarding the applicable travel planning services.
In the event of a conflict between these Terms & Conditions and the terms of an individual travel supplier, the supplier’s terms will govern the supplier’s services.
20. ACCEPTANCE
By paying a planning fee, providing credit card information for a deposit or guarantee, authorizing a payment, or otherwise confirming travel arrangements with Creosote Journeys, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
These Terms & Conditions apply to the traveler and, where applicable, to all members of the traveling party on whose behalf the person accepting these terms is acting, to the extent permitted by law.
